TMPAA Service Provider Communication Policy
Forging business connections is vital to the success of the TMPAA community. Our goal is to provide an environment where members can effectively share their solutions and build relationships—without overwhelming others with excessive outreach.
Because the Association now includes more than 200 service provider members, many attendees have expressed concerns about the high volume of marketing messages received before and after TMPAA events. To preserve a productive experience for everyone, the following communication policy applies to all TMPAA events:
Email Solicitation
- Mass emails to attendees are not permitted.
Only personalized, targeted messages to select prospects should be sent. - Post-event emails should be reserved for individuals you met during the event or those who have expressed interest in further communication.
Phone Calls
- Only one phone call to any attendee is permitted prior to a meeting.
Repeated calls and/or voicemail messages are not allowed. - Calls must originate from the individual who will attend the event.
Use of a call center or third-party service to schedule meetings is prohibited.
The TMPAA team will monitor compliance and has established a reporting protocol to address any violations. Repeated breaches of this policy will be reviewed by the Advisory Board and may affect continued membership.
Please ensure that your marketing and meeting planning teams are aware of and follow these guidelines.
Recommended Outreach Alternatives
We encourage service providers to use a targeted, thoughtful approach to outreach. Reviewing the attendee list to focus on your most relevant prospects will be far more effective—and respectful—than broad solicitations.
To support service provider visibility, TMPAA provides the following resources:
- Service Provider Biweekly: A feature highlighting individual member solutions [sign up here].
- Pre-Event Emails: Two messages prior to each event, distributed by TMPAA to all registered attendees, including links to the service provider directory, labeled trade show tables, and an online meeting request form.
- Event App Profiles: Each service provider’s information is featured in the mobile app.
